The Hardest Part of Being a Personal Assistant in Calgary Is Not What People Think

When I tell people I own a personal assistant business in Calgary, one of the first things I often have to explain is what a personal assistant actually does.

A lot of people assume I mean a business or executive assistant. They picture someone sitting in an office, managing a calendar, answering emails, booking meetings and helping their boss stay organized at work. While those types of assistants are incredibly valuable, that is not what I do.

I provide personal assistance.

My clients hire me to help with the things that take up their time outside of their actual work. That might mean booking appointments, running errands, arranging services, returning purchases, organizing personal to-dos, coordinating household tasks or simply taking care of the things they keep saying they will get to when they have a minute.

The problem is, most people never seem to have that minute.

And that is really where the value of a personal assistant comes in.

After building BTAB and working closely with clients, I have realized that the hardest part of being a personal assistant has very little to do with the actual tasks. It is not the errands, the driving around Calgary or the never-ending list of things that need to get done.

For me, the hardest part is the emotional side of the job.

What Does a Personal Assistant in Calgary Actually Do?

One of the biggest misconceptions about hiring a personal assistant is that it is simply about getting someone else to do things you could technically do yourself.

Of course, I am taking tasks off my clients' plates. That is the point. But there is usually much more behind those tasks than people realize.

When someone hires me, they are often already stretched thin. They might have a demanding career, a business to run, children to take care of, a household to manage and a long list of personal responsibilities competing for their attention. They are trying to remember appointments, make phone calls, deal with returns, organize their home, book services and somehow find time for themselves.

Eventually, something has to give.

Sometimes what they need is not another productivity system or another app on their phone. They simply need someone to step in and say, "I've got this."

That is where I come in.

Why Hiring a Personal Assistant Is About More Than Saving Time

One of the things I love about being a personal assistant in Calgary is that I get to make a tangible difference in people's lives. I can take something that has been sitting on someone's mental to-do list for days or weeks and get it done. I can make a phone call they have been putting off, take care of an errand they do not have time for or deal with something that has been hanging over their head.

But when you work closely with people, you inevitably see some of what they are going through. You become familiar with their routines, their families, their busy seasons and sometimes the more difficult parts of their lives. You might be supporting someone during a particularly stressful period, helping them get organized after a major life change or simply trying to create a little more breathing room for someone who has been running on empty.

That trust is something I never take for granted. I genuinely care about my clients and I want them to feel supported. I want to be the person they know they can rely on. But caring about someone and carrying their problems are two very different things, and learning that distinction has been important for me.

The Emotional Side of Being a Personal Assistant

I think empathy is essential to being a great personal assistant. You need to be able to understand that there is often more behind a request than what is written in an email or text message. You need to listen, pay attention and recognize when someone is having a particularly difficult day. You also need to understand that people do not always have the same amount of energy or capacity every day.

Sometimes the person who is normally completely on top of everything is suddenly struggling to keep up. Sometimes a task that would normally take five minutes feels impossible because there are ten other things happening at the same time.

At the same time, you have to learn where your responsibility ends.

I cannot fix every problem for my clients. I cannot remove every stressful situation from their lives, and I cannot take on their worries as my own. My job is to make their lives easier, not to carry their lives for them.

That sounds like a simple distinction, but when you care deeply about the people you work with, it can take some practice to create that separation.

How a Personal Assistant Can Reduce Mental Load

I think this is what people do not always see when they think about what a personal assistant does. They see the person picking up the dry cleaning, booking the appointment or returning the package. They do not necessarily see the person behind the task.

They do not see the client who has been thinking about that appointment for two weeks because they simply have not had the time or mental energy to deal with it. They do not see how much relief can come from having someone else take care of something that, on paper, looks completely insignificant.

That is why I have never viewed personal assistance as a luxury service. Yes, I handle errands and personal to-dos, but what I am really providing is capacity. I am giving people back some of their time and, just as importantly, some of their mental space.

We often talk about time as if it is the only thing people need more of. But I think mental space is just as valuable.

When you are constantly thinking about what needs to be done, who needs to be called, what appointment needs to be booked, what needs to be picked up and what you have forgotten, it is incredibly difficult to be fully present in anything else.

Sometimes taking five things off someone's to-do list gives them back more than an hour. It gives them the ability to focus on their work without thinking about what they need to do after work. It allows them to spend an evening with their family without mentally running through everything that still needs to get done. It gives them the chance to actually relax without feeling guilty about all of the things they should be doing.

Personal Assistant Services Are About Trust and Boundaries

Of course, there are days when the job is tiring. There are unexpected requests, last-minute changes and days when Calgary traffic makes an already busy schedule even busier. There are times when I have a long list of things to get through and new requests continue to come in.

But none of those things are what I would consider the hardest part.

The hardest part is caring about people while also learning how not to carry everything they are carrying.

It is a balance. I want to be invested in my clients and I want them to know that I genuinely care about the work I am doing for them. At the same time, I have learned that having healthy boundaries does not make me less supportive. It actually allows me to be better at what I do because I can show up for my clients with a clear head, a calm approach and the energy to actually help.

When someone trusts you with their personal life, their home, their schedule and the things that matter to them, that responsibility should never be taken lightly.

Why I Became a Personal Assistant in Calgary

And despite the emotional side of the job, I would not change what I do.

There is something incredibly rewarding about knowing that I have made someone's day easier. Maybe I have taken care of an errand that would have otherwise eaten up their Saturday. Maybe I have handled a task that has been sitting on their list for weeks. Maybe I have simply given them one less thing to think about when they already have enough going on.

Those are the moments that remind me why I started BTAB.

I did not start a personal assistant business just to check things off a list. I started it because I believe people should not have to do everything themselves. Life is busy enough. Work is demanding enough. There is no prize for being the person who manages to carry everything without asking for help.

Sometimes the smartest thing you can do is admit that you have too much on your plate and let someone else take a few things off it.

So, what is the hardest part of being a Personal Assistant in Calgary?

For me, it is not the errands, the appointments, the driving or the never-ending to-do lists.

It is caring deeply about the people I work with while learning how to leave their worries with them at the end of the day.

That balance is not always easy, but it is also what makes this work so meaningful.

Because at the end of the day, I am not just completing tasks.

I am helping people carry a little less.

And I think that matters.
